The three phases of the Plunet BusinessManager implementation—III. Final phase: From User Trainings to Go-Live

Blog series: Implementation at Plunet - The final phase: From User trainings to Go Live

To enable you to work successfully with Plunet BusinessManager, in-depth knowledge about the individual areas and the numerous applications of each functionality is essential. As part of the professional Plunet implementation, you receive extensive user training following the preparation and Admin training phases.

The individual trainings are tailor-made to your individual requirements. We address your specific questions and prepare you for automated processes and goal-oriented translation project management with our software.

Before you start

As with the Admin Trainings, you should allow 90 minutes for each of the User Training sessions. These begin once the Admin phase has been completed. We recommend one to two training units per week, in order to keep the learning material fresh in your mind. Any open questions can be clarified in separate Q&A sessions.

Each User training is recorded and made available to you for internal use, just like the Admin trainings. For these trainings you should prepare test files (sample CAT analysis files, sample source files as well as reference material).

First training unit

In the first training session, you will receive a general overview of the software and learn how to navigate in the system. You’ll get to know a core component of the software—the Dashboard. It offers a current overview of all projects, invoices, and jobs, enabling you to take action where needed. In addition, you learn everything you need to know in order to manage customer and resource contacts. You are also shown how to track time spent on projects, as well as how to enter vacation time and other absences.

  • General overview: Logging in, navigating
  • Dashboard
  • Managing customer and resource contacts
  • Timesheet

Second training unit

How is a quote created in Plunet, how can you amend an existing quote and which quote templates are available? These questions will be answered in the second training session.

  • Emphasis on quotes

Third and fourth training units

Both of these trainings focus on orders, job management and workflow templates. You will learn how to turn a quote in the system into an order, as well as how to create one directly. Furthermore, you’ll find out all you need to know to create single jobs (aside from translation jobs, there are also interpreting and language-independent jobs), to run a resource search, and to deliver a job. Complex job chains and the efficient use of workflow templates are also part of the training program.

  • Quote → Order
  • Job creation, resource search and job delivery
  • Workflow templates
  • Finalizing orders

Fifth and sixth training units

User trainings five and six revolve around the topics of invoicing and reports. Plunet enables you, your customers and your vendors to efficiently manage the entire invoicing process in one software. Training number five answers the following questions: What are payables? What are receivables? What advantages do collective invoices offer? How do you handle invoices that were sent via the vendor portal? How do you create credit notes and issue reminders?

With Plunet, you have a multitude of reporting options available at each stage of your translation management process. Whether it be the number of completed projects per month, specific personnel costs, or your most profitable customers – you will learn how to use the relevant information for your purposes.

  • Invoice management
  • Reporting and queries

Seventh training unit

In this training unit, you are shown how the Plunet Customer Portal helps to integrate your customers into your workflow by allowing them to easily provide all the information necessary for collaboration. You can read about the many benefits of using the customer portal in our blog post on the topic.

  • Customer Portal

Further training units

For customers who have already acquired additional modules, there are further training sessions for each of the selected add-ons.

In addition to the standard options, Plunet offers a variety of additional modules that simplify your work in the software with regard to a specific area. If your focus is on refined quality management (QualityManager), time-saving automation possibilities (AutomationManager, VendorRegistrationManager), or interpreting services (InterpretingManager)—Plunet offers a module suited to your individual needs.

Additional training on CAT integrations

Plunet offers static as well as dynamic integrations to all leading CAT tools. These integrations save you a considerable amount of time and manual effort when it comes to your translation management processes. If you have purchased a CAT tool integration (to SDL, memoQ, Memsource among others), you will receive further in-depth training on the setup and usage of the relevant integration. The same applies to QuickBooksManager. This integration enables a fully automated transfer of Plunet invoices to QuickBooks, all important payment information is sent from QuickBooks back to Plunet, and customer as well as resource data are synchronized between the two systems.

Final system check and Go-live

Once you have successfully completed the software training units, Plunet Support will take care of the database cleanup. During a final system check, you will reset the format of the project numbers together with your Implementation Specialist. After a final run-through of the checklist, you’re ready to go. Any open questions can be clarified in a follow-up meeting, and Plunet Support can be contacted at any time via the ticket system.

You are now a fully qualified Plunet user, ready to process your translation management projects more efficiently than before. With Plunet, you begin a new phase that will have a lasting impact on your business.
